Hello, my name is Evan, and I’m one of the customer service guys here at Knowledge Anywhere. Today, I’m going to show you an overview of the learner’s search and details from an administrator’s perspective. We’re going to start at the main learner page, as seen here, and then navigate to the admin side by selecting it in the profile section.

Note that you may not see all the fields shown depending on your level of access. Here’s the admin section of the LMS. We’re going to select this little person icon, which is the learner section. You can search, filter, and add learners all from this section. By default, the first page of all active learners is shown. You can do a quick search by using the search bar by entering a partial or full name, last name, or email.

For each learner, you can see useful statistics such as courses completed, course paths due, and the number of learning groups they belong to, registration code, and the number of learning paths assigned. You can use the filter for more advanced search. You’ll see these arrows to the right of first name, last name, and email. This sorts learners alphabetically by whichever option you choose.

At the bottom, there is a default 25 per page; you can have up to 100 learners visible in search by switching it below. Select multiple learners to issue commands to a certain grouping; options will appear below.

I like this feature here where I can send a specialized email to these two learners to inform them of anything they need to know, like if they need to take a certain course, so I’m going to send them a personalized message. This message will go directly to their email inbox.

Let’s do a search for a learner I have to check out, William Lemire, to verify something with his transcript. So I will search his first name, and there’s William. He’s the only William in the LMS right now, but if there were another William, they’d also appear here. And here we are; you can see at the top William’s name and some quick actions that you might be familiar with. William has some special admin privileges that are also listed here. He’s a limited admin with content editor access and also an instructor.

There are five tabs here; just note that when you select a learner, the LMS will always default to the account tab first. Note some of the special toggles like PII and message opt-outs here. The toggles are grayed out right now; this is because I’m logged in as a group admin, which doesn’t have full account editing capabilities. You can also change an account’s password in this box to the right. You’ve also got a profile showing William’s basic information. All this is editable for admins. You’ll also see the custom fields to the right of the basic information.

As you may have noticed, William’s little profile box and quick actions minimize themselves. You can open them again by clicking this arrow. Assignments display all the content that William is assigned. You can see that he has some assignments from directed learning and via the groups he’s part of. Note the “Assign Content” button; you can use this to directly assign courses to a learner.

Now we can see that course right here. By selecting a learning path or course, you can then unassign it from that learner. Groups show which groups William is in and why he’s in those groups via this “attributes to qualify” section. Remember, learners go into groups, and groups are assigned learning paths, which is what enables a learner to see content.

William’s transcript is also visible, along with the ability to download certificates and export his transcript. Select one or more items to gain the ability to mark complete, incomplete, or exempt. I need to export William’s courses but only the ones he’s completed, and I can do this via the “export transcript” button here or in the quick actions here. As I click this dropdown, one I can see that there’s a “completed only” option, and it’s downloaded.

There’s one more special tab, the “Purchase History” tab. This will only appear if your LMS has e-commerce enabled. It shows the purchase history for a learner. These are also directly editable as well. Let’s add an item now. William is getting the Cybersecurity Basics course, and I’m going to set the expiration date one year from now.

Looks like we’ve encountered an error. This is because I am on a group admin account and not a global admin account. Let’s take a look at what a global admin could do when adding a course. Here’s another learner that has purchased some courses, Henry Baker. You can see that he has the Emotional Intelligence at Work course that’s going to expire next year on March 30th, as well as that Cybersecurity Basics course. You see that there’s an order number and the order date as well. If you click on a course, you can directly modify its expiration date, which will change its modified date.
